FINAL CIRCULAR

Dear Colleagues,
This is the final circular for the Quark Matter 2008.

Venue


The conference will be held at the B M Birla Auditorium and Convention
Centerer located at the heart of Jaipur at:

The main auditorium is one of the largest in India, built to international
conference standards.

The Inauguration programme and the plenary session will be held at
the main auditorium. Parallel sessions will be held at the Lecture
Halls 2, 3, 4 and in the main auditorium.


Registration


The Registration desk at the Conference Venue will be open from
14:00 - 19:00 hours on 3rd February, 2008 (Sunday). The registration
desk will remain open during February 04-09, 2008 from 09:00
to 18:00 hrs.

The registration fee may be paid by cash, bankers cheque/draft/traveler's
cheque payable in favour of Quark Matter 2008. No personal cheque is
acceptable.

In few cases we have not yet received the money through bank transfer.
So if you have sent the money by bank transfer and not received
the confirmation from the organizers then please bring the bank transfer
documents.

Reception


A welcome reception for all the participants will be given on Sunday,
February 3, 2008 from 17:00 - 19:00 hours at the lawn near the venue.
Local transport from the hotel <-> venue during the conference
will be arranged. Please check with the reception desk at the hotel.


Accommodation at Jaipur:


The accommodation list for participants of Quark Matter 2008 is posted
in the conference website. We request you to check the list and inform us
if you find any discrepancy or omission regarding your accommodation.
If you have not reserved your accommodation yet please send
one night advance to Rajasthan Travel Services (RTS) immediately
to book your accommodation (please see the conference website for
details). Please send a copy of your request to qm2008@veccal.ernet.in

The money receipt for accommodation will be given by RTS if your
accommodation is booked by RTS or by Quark Matter Organizers.

Check in and Check out time of hotels: 12:00 noon

Please note that breakfasts are included in the hotel charges.

Local transport from the hotel <-> venue during the conference
will be arranged.

Transport


Delhi-Jaipur:

Jaipur, the capital city of the state of Rajasthan is well connected
to the rest of the country by air, national highways and railways.
From New Delhi's Indira Gandhi International Air Port special transport
has been arranged for the participants of Quark Matter 2008. To avail
this facility please book (if you have note done yet) your transport through RTS
with a copy of your request to qm2008@veccal.ernet.in See the conference
website for details. Please look for volunteers with Quark Matter 2008 placards
at the airport exit for assistance.

The list of persons who have requested to avail surface transport between Delhi
and Jaipur will be posted in the conference website. We would like to request
you to check it. The last date for any further request is January 25, 2008.

Cost:
Luxury coach : 30 USD per person
Private car: 100 USD
It takes approximately three and a half hours from New Delhi Airport to Jaipur.


Other mode of transports for New Delhi to Jaipur:


1. From New Delhi to Jaipur by air. Please note that you need to change (except
Air India) the airport terminal after custom check for a domestic flight from
Delhi to Jaipur. Free coach service is available from International to
domestic terminal.

2. Taxi (pre-paid): from Airport to Inter State Bus Terminus (Taxi fare is about Rs. 300/-).
Bus: from Inter State Bus Terminus to Jaipur (about four and a half
hours journey, bus fare less than Rs. 500.00)

3. Taxi (prepaid): Airport to New Delhi Rail Station (Taxi fare is about Rs. 300/-).
Train: New Delhi Rail Station to Jaipur (prior booking is required)

Jaipur airport to hotels:

At the airport Quark Matter 2008 volunteers will assist you during
February 3 (08:00 hrs to 21:00 hrs) and February 4 (08:00 hrs to 12:00hrs)
for your local transport. Please look for volunteers with Quark Matter 2008 placards
at the airport exit for assistance. Pre-paid taxi services are available from the Jaipur
Airport to hotels (Taxi fare approx. Rs. 300/-).

Jaipur Railway station to hotels:

From railway station please avail Taxi or Auto rickshaw services.

Local transport from the hotel <-> venue during the conference
will be arranged. Bus schedule will be available at the hotel reception.

Jaipur - Delhi:

Coach service and private car service will also be available
on February 10 and 11, 2008 from Jaipur to New Delhi Air port.
For this service please sign up at the RTS travel desk at the
venue.


Visa


This international conference has got the necessary
approval of the Government of India. Indian
Embassies and Consulates abroad have been intimated
this approval. In case you have any problem please
contact us.


Academic Programme and download of files


The Academic Programme of the conference is already posted in the Conference
web page.

LCD projectors for both plenary and parallel sessions will be available.
All the talks have to be copied to the hard disk of our LCD - computer set up
to prevent any wastage of time in connecting personal laptops to LCD.
Please bring your talk in a memory stick and upload to the on site computer at
the Conference at least one day in advance.

Posters (each of size 80 CM width and 100 CM length) will be displayed during
the entire period of the conference. All parallel talks are of 15 + 5 minutes
duration.

QGP Winter School:


The FINAL list of participants is already posted in the school website.
Please note that the participation in the school is by INVITATION ONLY.

Conference Proceedings


The conference proceedings will be published by Institute of Physics
Publishing (UK) in Journal of Physics G. The length of the manuscripts
for the plenary and contributory talks will be limited to 8 and 4
pages, respectively. The instructions for the manuscript preparation is
available the conference website. Selected posters (of length 4 pages)
will be published in Indian Journal of Physics. The deadline for the
submission of manuscripts is April 27, 2008.

Cultural programme:


A cultural function - ``A Sprinkle of Indian Classical Ragas'' will be
presented by Pandit Shivkumar Sharma on the evening of February 6, 2008.

Excursion


The excursion will start just after the academic session is over
on February 7, 2008. The participants may avail one of the following
two options:

Option - 1: City tour includes - City Palace , Observatory , Birla Temple ,
Central Museum & Hawa Mahal.

Option - 2: Amber Tour includes - Ambar Fort, Birla Temple , Central Museum,
Hawa Mahal and Jaimahal.

Conference Dinner


The conference dinner will be arranged on February 09, 2008 at the lawn of Jaimahal Palace Hotel
which was once the President house of Jaipur royalty. The palace and the lawn
will be illuminated with fairy lights. The theme starts with traditional
welcome of the participants with garlands and petal showering followed
by cocktail and dinner with Rajasthani folk dances and to the end the
finale will be with fire works.


Weather


The weather at Jaipur during February is very pleasant. Average low
temperature is 12 C (54 F) and average high is 24 C (76 F) during
February at Jaipur. Normally there is no rainfall during this period of
the year. Light woolen clothing is recommended.


Currency


The unit of currency is Indian Rupee (INR). For details of the rate, please
log on to: http://www.xe.com/ucc/. The currency exchange facilities are
available at the airports. Currency exchange facilities will be also available
at the venue. Major credit cards are accepted at the big hotels, restaurant
and major stores/shops.

Nuclear Physics A - Young Scientist Award:


The presentation of the award will be held on February 10, in the concluding
session of the Quark Matter 2008.

This will be followed by Lunch.

Companion Programme


The excursion programmes for accompanying person may be organized
to the following tourist attractions:

a. Pushkar Tour- Day Return:

Cost per person USD 25/INR 1000. After breakfast drive to Pushkar, one of the
holiest places for Hindus. Visit Brahma (The Creator God) temple
and the ghats of the holy lake also visit few other Hindu temples &
return to Jaipur.

b. Samode Tour- Day Return:

Cost per person USD 15/INR 600. After lunch drive to Samode 45 Km
away west of Jaipur. Visit the palace of Jagirdar (Village Master),
later return to Jaipur.

c. Mandawa Tour:


Cost per person USD 45/INR 1200. After breakfast drive to Mandawa,
visit the painted and fesco painting havelies of the Orundlod town &
surrounding areas of Mandawa and Naawalgarh. The painted havelies of
the region are called the open air art galleries and return to Jaipur.

d. Rantahmbore Tour:
Cost per person – USD 45/INR 1800. After breakfast drive to Ranthambore,
enjoy Jungle safari to view the wild tiger, panther, hyena,jungle cat,
civet, sambar,chitel,nilgai,bear,wild boar,partridge,green pigen, red squrfowl
etc. in their natural habitat & return to jaipur.

e. Agra Tour:
Cost per person – USD 45/INR 1800. After breakfast drive to Agra,
visit Taj Mahal – one of the seven wonders of the world surely the
most extravagant expression of love ever created. 20,000 men labored
for over 17 years to build this memorial to Shah Jahan's beloved wife.
Also visit the red Fort the rusty & majestic red-sandstone fort of Agra
stands on the bank of the river Yamuna and return to Jaipur.
